General Data Protection Regulation (GDPR)

New EU laws regarding your personal information came into force in the UK on 25th May 2018.  In order to comply, I have registered with the ICO (Information Commissioner’s Office) which is responsible for regulating these laws.

As a “Data Controller” it is my responsibility to ensure:

  • I seek your permission to record your personal information.
  • I only hold the minimum, essential personal information about you.
  • I store it in a secure place.
  • I delete/destroy it at the earliest possible opportunity.
  • I do not pass this information on to any 3rd party.
  • The information I store is available for you to view at any time

What information do I hold and why do I need it?

As your driving instructor, I will ask you for the following information:

As part of your driving course, we spend time reflecting on lessons.  I will record your thoughts and feelings on your lessons; what you think went well, what you want to improve on etc.  self reflection helps greatly in the client centred learning process.

How will your personal information be stored and is it secure?

All of the information listed above is stored within a Google Apps account.  This is password protected on a PC, laptop and smartphone. In addition, the smartphone has fingerprint ID security.

In addition, I also keep hard paper copy files together with the lesson reflection forms.  These files are kept locked away overnight and are in the car with me during the day.

How long will I keep your personal information?

I will keep your information until you are no longer a student with South Downs Driving School.  Details entered into accounts software for invoicing will be stored securely (password protected) for the required 7 years for tax purposes.

How will your personal information be destroyed/deleted?

Once your driving lessons cease, hard copy documents will be destroyed, and your Contacts File will be deleted from the Google Apps account.

Photographs

With your permission, I would usually take a photograph of you with your pass certificate when you pass your driving test.  This photograph can be emailed to you for your records, but I also ask that I publish it on my website and/or Facebook, Instagram and Twitter page.  

Dash Cams

I have two dash cams in the car.  Once facing forwards and one behind.  These are for insurance purposes and do not record sound.   In the event that a valuable piece of learning can be used by what they record, I may play it back.  All dash cam footage is systematically deleted based on dash cam settings.

What happens in the event of a data breach?

If your data is lost or stolen you will be informed at the earliest possible moment and all passwords to Google Apps and Account software will be changed immediately.

Can you see your personal information?

Yes.  All information is available immediately via Google Apps on my smartphone and hard copy paperwork which I will always have at lessons.
